Acceptable Use and Communication Policy

This policy forms part of the HFT Terms and Conditions. It explains how we communicate, when we are available, which channel is the channel of record, and what use of our service is and is not acceptable.
Part A — Communication
1. Our channels, and what each one is for

The portal and email are the channels of record. If it matters, put it there.
2. Working hours
2.1 Our working hours are 9:00 AM to 5:00 PM IST, Monday to Friday, except public holidays.
2.2 Weekends and public holidays are non-working days. Messages sent on a Saturday, Sunday or public holiday may not be answered until the next working day, and we are under no obligation to answer them sooner.
2.3 Out-of-hours support is a courtesy, not an entitlement. We do sometimes help outside working hours, on a case-to-case basis, when someone on the team happens to be available and the matter warrants it. Doing so once does not create a right to it. No client is entitled to demand support outside working hours, or to expect us to be available at any hour they choose. Requests made outside working hours will be handled in working hours unless we decide otherwise.
3. WhatsApp — please read this
We use WhatsApp because it is convenient. It has real limits, and it is fairer to state them than to leave you guessing.
3.1 We cannot guarantee a reply on WhatsApp. We work with many clients. It is not possible to respond to every message from every client, and we cannot take responsibility for answering every question asked there — particularly the same question asked repeatedly.
3.2 Reading a message does not oblige us to reply to it. A "delivered" or "read" indicator is not an undertaking to respond, an acceptance of an instruction, or an agreement to anything in the message.
3.3 Replies depend on team and individual availability — on any given day, on who is free, and on whether the person you need is in a session.
3.4 WhatsApp is not the channel of record. Messages there are not captured in our system. Anything you need acted on — feedback, a change request, an approval, a complaint, an instruction that changes your strategy — must go through the portal or email.
3.5 If you send feedback or an instruction on WhatsApp and it is not incorporated, does not appear in the system, and is not acted on, HFT is not responsible for that. The correct route is always available to you, and it takes no longer to use.
3.6 Abusive, threatening, harassing or deliberately false messages are not acceptable on any channel and will not receive a response. Repeated conduct of this kind is a ground for suspension or termination under Terms and Conditions, Section 21.
4. Calls
4.1 We do speak to clients on the phone, and we do so willingly.
4.2 If we are in a meeting, on a client session, or otherwise engaged, we may not be able to take your call. This is normal, it applies to every client equally, and it is not a failure of service. A missed call is not a ground for complaint that "HFT did not speak to me."
4.3 We will return calls where we can, in working hours.
4.4 For anything that needs proper discussion, book a one-to-one call using the link in your portal. That is a scheduled Zoom session with the time set aside for you, and it is a far better use of your engagement than an unscheduled call caught between two meetings.
5. Sessions
5.1 Book, reschedule and cancel through the portal.
5.2 Please give at least 24 hours' notice to reschedule. Missed sessions and late cancellations are forfeited — see the Refund and Cancellation Policy, Section 7.
5.3 Join on time and prepared. Where a session is recorded, we will tell you at the start and you may decline.
5.4 Session slots are offered within working hours. Slots outside working hours are occasionally offered at our discretion and are not an entitlement.
6. Response expectations, both ways
6.1 From us: acknowledgement of a portal or email message within 1–2 working days; a complaint acknowledged within 48 hours and resolved within one month.
6.2 From you: please respond to information requests and approval requests within the timeline your Coach gives you. Where a deadline is not stated, please treat it as 5 working days.
6.3 Where you do not respond for 30 continuous days, we may mark the engagement inactive and pause work. Package validity keeps running.
Part B — Acceptable use
7. Using our service properly
You agree to:
- give us information that is true, complete and current;
- use deliverables and contact data only for your own job search;
- keep your portal login to yourself;
- treat our team with basic courtesy;
- respect the terms of LinkedIn, Naukri, job boards and any employer platform you use.
8. What is not permitted
You must not:
- ask us to fabricate or falsify any title, employer, date, qualification, certification, award or metric — we will decline, and repeated insistence ends the engagement;
- ask us to conceal information in a way that misleads an employer or a verification agency;
- resell, share, publish or redistribute deliverables, templates, contact lists or research produced for you;
- use contact data for marketing, list-building, recruitment for a third party, or any purpose other than approaching that person about your own candidacy;
- continue contacting a person who has asked not to be contacted;
- share your portal account with another person, or purchase services on behalf of someone else without telling us;
- impersonate any person, or ask us to write in the name of a person who has not authorised it;
- attempt to access another client's data, or any part of our systems you have not been given access to;
- use our service in a way that breaches Indian law or the terms of any third-party platform;
- abuse, harass, threaten or defame our team, on any channel or in public.
9. Outreach conduct
9.1 Outreach is sent only after your approval, in the volumes and cadence we agree.
9.2 Every message identifies the sender and lets the recipient decline further contact.
9.3 If a contact asks not to be contacted again, that is final — for you and for us. They are suppressed permanently across our whole system.
9.4 We do not send bulk, untargeted or misleading outreach, and we will not do so on request.
9.5 We do not contact your current employer, or its close affiliates, where your search is confidential.
10. Enforcement
Breach of this policy may result in a warning, suspension of work, permanent termination without refund, and — where the law requires it — reporting to the relevant authority. Serious breaches (fabrication, misuse of third-party contact data, abuse of staff) may result in immediate termination without warning.
